Join our team as Administrative Assistant (Property & People Safety)
Are you highly organised with a passion for supporting compliance and safety? We’re looking for an Administrative Assistant to provide essential administrative, and systems support to our Facilities Management, Property and People Safety teams as part of a major transformation project.
Key Responsibilities
• Act as the first point of contact for phone and email enquiries, delivering a proactive and customer-focused response.
• Provide administrative support including preparing and distributing documents, drafting professional correspondence, and managing records.
• Coordinate team activities such as booking meetings, managing diaries, and attending meetings to take minutes.
• Process purchase orders and invoices accurately using our finance systems.
• Support the implementation of a new compliance system by maintaining processes, extracting and analysing data, and assisting with data transfer.
• Ensure all activities comply with relevant regulations and contribute to quarterly Health and Safety reporting.
• Promote equality, diversity, and inclusion in all decisions and communications.
What you’ll need to succeed
• Proven experience providing administrative support in a collaborative environment.
• Excellent organisational skills with the ability to prioritise tasks and meet deadlines.
• Strong communication skills, both written and verbal, with a customer-focused approach.
• Confidence using digital tools and Microsoft applications (Word, Excel, PowerPoint, Teams, SharePoint).
• Ability to manage diaries and coordinate schedules for multiple stakeholders.
• Awareness of health and safety principles and commitment to compliance.
• A positive, adaptable attitude and willingness to learn and support team goals.
