The Opportunity

We're looking for our first critical hire—a tech-savvy, organized, and personable Executive Assistant who will be the operational backbone of HBC. This isn't a traditional admin role. You'll be a strategic partner who transforms our founder's expertise into scalable systems, manages cutting-edge technology, and creates exceptional client experiences.

What You'll Do

Client Experience & Operations (40%)
• Help get the business rolling by working side by side with the founder on the initial website launch, tech stack, client out reach, marketing.
• Manage the complete Home Clarity Report lifecycle from initial inquiry to final delivery
• Schedule consultation calls and on-site visits using our scheduling systems
• Conduct warm, professional initial contact with prospective clients
• Follow up with clients post-delivery to ensure satisfaction and gather testimonials
• Coordinate with homeowners and trade partners throughout project execution
• Maintain our CRM with detailed client profiles and interaction history
• Create and send professional client communications and reports

Report Production & Technology (30%)
• Produce comprehensive Home Clarity Reports using audio transcriptions, 3D scans, and trade partner input
• Manage our tech stack: Matterport (interior 360° tours), Hover.to (exterior 3D models), CRM, project management tools, website creation and management.
• Social media creation and management
• Leverage AI tools to transcribe and organize consultation recordings into searchable databases
• Compile budget ranges, project timelines, and recommendations into polished presentations
• Edit and distribute personalized video recaps from the founder
• Maintain organized digital files and documentation for all clients

Trade Partner & Realtor Coordination (15%)
• Manage relationships with 15-20 trade partners and 20 realtor partnerships
• Coordinate project referrals and ensure smooth handoffs
• Track trade partner performance and gather homeowner feedback
• Schedule realtor meetings and co-marketing initiatives
• Maintain trade partner and realtor databases with current information

Business Systems & Growth Support (15%)
• Optimize workflows and standard operating procedures as we scale
• Identify opportunities for automation and efficiency improvements
• Assist with marketing campaigns, social media scheduling, and content distribution
• Support founder with strategic projects and growth initiatives
• Track KPIs and generate reports on business performance

What You Bring

Required Qualifications
• Tech proficiency: Comfortable learning new software quickly; experience with CRM systems, project management tools, and cloud-based platforms
• AI enthusiasm: Excited about using AI tools (transcription services, ChatGPT, automation platforms) to enhance productivity
• Exceptional communication: Professional phone and email presence; ability to make clients feel heard and valued
• Organizational excellence: Strong attention to detail with ability to manage multiple projects simultaneously
• Self-starter mentality: Comfortable with ambiguity and able to figure things out independently
• Customer service mindset: Genuine desire to help people and create outstanding experiences
• 2 years of experience in executive support, operations, customer success, or related roles

Bonus Points For
• Experience in construction, real estate, or home services industries
• Background in content creation, report writing, or presentation design
• Experience with marketing automation or email campaigns
• Project management certification or experience
• Local to Summit County, Ohio (but not required)

What Success Looks LikeIn Your First 30 Days
• Fully onboarded on all technology platforms and systems
• Shadowing founder on consultation calls and on-site visits
• Managing scheduling and initial client communications independently
• Beginning to produce sections of Home Clarity Reports with oversight

In Your First 90 Days
• Independently managing the entire Home Clarity Report production process
• Coordinating trade partner referrals and realtor partnerships smoothly
• Identifying and implementing your first process improvements
• Building warm relationships with clients, trade partners, and realtors

In Your First 6 Months
• Operating as the founder's trusted right hand
• Proactively identifying problems and implementing solutions
• Managing 10 active client relationships simultaneously
• Contributing ideas for business growth and expansion

In Your First Year
• Systems and processes documented and optimized for scale
• Supporting delivery of 40 Home Clarity Reports
• Managing Concierge Membership coordination for 10 members
• Helping prepare the business for Year 2 geographic expansion

Our Hiring Process
