Duties
• Oversee daily office operations, ensuring a productive work environment
• Manage schedules and calendars for team members, coordinating meetings and appointments
• Handle vendor management, reconcile, research and correct discrepancies on vendor statements
• Maintain accurate records through filing systems and database management
• Utilize QuickBooks for enter all accounts payables and credit card purchases
• Provide front desk support, managing line phone systems with professionalism and courtesy
• Receipt all timesheets and prepare information for billing department
• Ensure compliance with office policies and procedures while fostering a positive workplace culture
• Accounting and billing support
Qualifications
• Proven experience in an administrative or office management role
• Strong clerical skills with attention to detail in filing and recordkeeping
• Proficient in QuickBooks, Excel, Outlook
• Excellent communication skills, both written and verbal
• Strong organizational skills with the ability to manage multiple priorities effectively
• Demonstrated ability to lead teams and manage personnel effectively
• Spanish knowledge is a plus
