Are you the type of person who loves colour-coded calendars, beautifully organized folders, and the satisfaction of crossing tasks off a list? Do you get a strange thrill from making systems run smoother than a freshly staged living room? If yes… we might be your people.

We’re a fast-paced, supportive, slightly chaotic (in a fun way) real estate team looking for an Office Administrator who is organized, tech-savvy, and ready to keep our world running smoothly. If you love being the go-to person who keeps everyone on track, this role is made for you.

What You’ll Be Doing (AKA: Your Superpowers)

1. Transaction Management

You’ll quarterback all the administrative parts of our deals:
• For Sale listings
• For Lease listings
• Buyer purchases
• Sold & leased deals

You’ll keep everything organized, on schedule, and running like a well-oiled machine.

2. Communications That Make Us Shine

You’ll help us stay connected by:
• Sending congratulations emails and follow-up messages
• Contacting lawyers and client partners to keep transactions smooth
• Keeping agents updated and on track

You’ll be the friendly, polished voice behind the scenes.

3. File Organization & Compliance

If you nerd out on neat folders, you’ll love this part. You’ll:
• Use Trello cards to track tasks
• Set up digital file folders in Dropbox
• Follow up with agents for missing documents
• Submit completed files to the brokerage

Basically: you’ll be the reason our files don’t live in chaos.

4. Database Queen/King/Overlord

(Whatever title feels right for your soul.)

You’ll maintain Command, Mailchimp, Google Calendar & Contacts with:
• Daily task check-ins
• Updating and creating client contact cards
• Adding birthdays & anniversaries into Google Calendar
• Cleaning databases, merging duplicates, updating tags
• Moving contacts between agents when needed

You will become the guardian of clean, beautiful data.

5. Marketing Support

You don’t need to be a graphic designer — just comfortable creating simple, branded social posts for:
• Just Listed
• Just Sold
• For Sale
• For Lease

And you’ll help keep agent profiles and team pages fresh on our website.

6. New Agent Onboarding

You’ll help welcome new agents to the team by:
• Setting up their profiles
• Creating their Facebook Business Page
• Adding them to our team website
• Ordering business cards

You’re basically the person who makes them feel like they’ve joined the best team ever. (Because they have.)

Real estate experience is a bonus, not a requirement.
