As an Office Assistant, you will be the first point of contact for our patients—helping create a warm, welcoming, and organized environment. We’re looking for someone who is friendly, detail-oriented, dependable, and able to stay calm and professional in a fast-paced clinic setting.

Essential Duties and Responsibilities:

Front Office Duties:
• Greet patients warmly and check them in for appointments.
• Answer incoming phone calls, route messages, and provide general information with professionalism and care.
• Schedule, confirm, and reschedule appointments using the clinic’s scheduling system.
• Verify patient demographics, insurance information, and required documentation during check-in.
• Handle patient inquiries in a supportive, respectful, and confidential manner.
• Maintain a clean, organized, and welcoming front desk and lobby area.
• Collect and process co-pays or fees as needed.
• Assist patients with forms, portal setup, and administrative questions.
• Communicate with providers and staff regarding patient flow and daily schedules.

Administrative Responsibilities:
• Scan, upload, and file documents into the electronic medical record (EMR).
• Maintain organized digital and physical records.
• Prepare, sort, and distribute forms, documents, and patient materials.
• Assist with data entry, appointment reminders, and general clerical tasks.
• Support back-office staff as needed and maintain smooth communication across the care team.
• Protect patient confidentiality at all times while following HIPAA guidelines.

Skills, Experience and Requirements
• Previous experience in a medical, mental health, or front office setting preferred.
• Excellent verbal and written communication skills with a professional, patient-centered approach.
• Strong accuracy and attention to detail in documentation and scheduling.
• Ability to multitask effectively and manage a steady flow of patients and calls.
• Friendly, welcoming demeanor and ability to remain calm in stressful situations.
• Basic computer and scheduling software skills; EMR experience preferred but not required.
• Strong organizational skills with the ability to prioritize tasks.
• Ability to work independently and as part of a collaborative team.
• Strict adherence to confidentiality, professionalism, and HIPAA guidelines.
• Reliable, punctual, and willing to learn new processes and responsibilities.

Pay & Schedule:
• Full-time position (Monday – Thursday)
