Description
The best candidate will be able to show a work history of at least four consecutive years working full time for the same employer and is comfortable communicating with people across teams and departments, is able to solve problems and improvise as needed, and knows how to effectively estimate and manage time spent on a variety of tasks. If you are a natural coordinator with a sense of “big picture” objectives and an eye for detail, there is a potential opportunity for us both to win by joining forces.
Managing relationships with Domestic and Foreign entities for long-term business is key to this role. Daily communication and consistency help to ensure expectations are accurate and met for clients, co-workers, and suppliers. Documents will need to be accurate and without mistakes. This position will participate in the business process by receiving information about a potential sale opportunity and communicating options to co-workers, and outside vendors. Collaborating with co-workers to decide the best option, this position will then finalize necessary agreements with all contacts that will be part of the pick-up, transportation, and drop-off. The next steps will include ensuring all parties are satisfied to that point, all documents are correct, and historical records are kept correctly. NetSuite will be the main software used during these processes, and a basic ability to use Microsoft products (Outlook, Excel, Word, etc.) will also be necessary.
Objectives of this Role
· Develop and implement department-wide quality control (QC) measures.
· Recommend new procedures to increase efficiency of day-to-day operations.
· Maintain communication with Director of Operations, staff, and vendors to ensure adherence to protocol across chief touchpoints.
· Assist the Director of Operations in developing, planning, and coordinating operational activities.
· Oversee inventory management practices and improve, as necessary.
· Ensure operational legal compliance with state and federal regulations.
Daily and Monthly Responsibilities
· Be honest.
· Be punctual.
· Monitor day-to-day operations, while tracking and reporting on performance and recommending actionable improvements, as necessary.
· Create and manage new customers, vendors, items, delivery and pick-up locations, order numbers, purchase orders, and sales orders in NetSuite with respect to assigned salesperson, forecasts, and goals.
· Create and follow procedures and protocols (such as checklists).
· Verify correct pricing and weights in all records.
· Verify dates, notes, and other order details.
· Request, create, and ensure proper documentation for all orders.
· Communication and coordination through phone, email, and other mediums with other team members and departments to ensure smooth operation between outside suppliers/customers and internal decisions – especially when there are changes to the original plans or expectations.
· Train and onboard with new and existing team members on operational protocols to ensure all staff members adhere to standard operating procedures (SOP’s).
· Build Supplier and Customer relations through excellent communication and proper expectations.
· Protect all confidential information and participate in strategic informative actions.
· Maintain and report accurate status of all accounts.
· Contribute to the existing positive, efficient environment.
Required Skills and Qualifications
· Proven organizational skills, including time management.
· Project management experience.
· Strong problem-solving and analytical skills.
· Self-sufficiency: the ability to work with minimal supervision.
· Attention to detail.
· Positive and realistic attitude.
· Demonstrated history of positive long-standing employment relationships.
· Strong verbal and written communication skills (English).
· Strong verbal and written communication skills (Spanish).
Preferred Qualifications
· 2+ years of experience in an operational role of similar capacity.
· Proficient in Microsoft Excel and other Microsoft Office software.
· Experience with NetSuite.
· BILINGUAL (English/Spanish).
High School diploma or general education degree (GED); or months of related experience; or equivalent combination required. College bachelor’s degree; or months of related experience; or equivalent combination preferred.
May occasionally be required to lift up to 50 pounds, bend, squat, twist, stoop, climb steps/ ladders, and sit or stand for extended periods.
