Overview
Are you highly organised, approachable and someone who takes pride in making things happen behind the scenes?
We’re looking for an Office Administrator & PA to join the team at Figure of Eight Education and become an important part of the day-to-day running of our organisation.
This is much more than a traditional office administration role. You’ll be at the heart of our Tuition Centre, helping to keep things organised, supporting our staff and students, communicating with schools and professionals, and making sure the day-to-day operation of Figure of Eight Education runs smoothly.
The role will also include Personal Assistant support to the Director, helping with organisation, communication, diary management, meetings, projects and the many different tasks involved in running a growing education organisation.
No two days are likely to be the same.
One day you might be organising paperwork and updating records, the next supporting a school communication, preparing for a meeting, helping a member of staff, organising resources or making sure everything is ready for students arriving at the centre.
We’re looking for someone who is organised, proactive, trustworthy and personable, who can use their initiative and isn't afraid to get stuck in.
Most importantly, you’ll need to care about what we do.
At Figure of Eight Education, our work is centred around helping children and young people who may not have thrived within traditional education. The person joining our office team plays an important part in making that possible.
What you’ll do
Office Administration
Manage day-to-day administrative tasks to ensure the Tuition Centre operates efficientlyMaintain accurate student, staff and organisational recordsComplete data entry with accuracy and attention to detailPrepare, organise, scan, photocopy and file documentsMaintain organised digital and physical filing systemsUse Google Workspace, including Docs, Sheets, Drive, Gmail and CalendarSupport the organisation of timetables, meetings, appointments and calendarsMonitor office supplies and arrange for resources and equipment to be available when neededHelp maintain an organised, welcoming and professional office environmentAnswer telephone calls and respond to enquiries in a friendly and professional mannerSupport incoming and outgoing communication with parents, schools, local authorities and other professionalsAssist with preparing reports, letters, forms and other documentationSupport staff with administrative tasks and projectsPersonal Assistant Support
Working closely with the Director, you will provide practical PA support including:
Managing and coordinating diary appointments and meetingsHelping organise priorities, deadlines and follow-up actionsPreparing documents, agendas, notes and meeting materialsKeeping track of actions arising from meetingsSupporting communication with schools, local authorities, professionals and other organisationsHelping coordinate projects and new initiatives across Figure of EightCarrying out research and gathering information when requiredHelping to keep the Director organised across the different areas of the organisationActing as a reliable point of contact and helping ensure important tasks don't get missedProviding general organisational support across the business as requiredSupporting Students, Staff & Professionals
Provide a friendly and welcoming first point of contact for students, parents, staff and visitorsSupport staff and students with administrative tasks and projectsAssist with organising student resources and activitiesHelp coordinate information between tutors, mentors, schools and familiesSupport the Designated Safeguarding Lead (DSL) with appropriate administrative tasksAssist with communication and documentation involving schools, local authorities and other professionalsMaintain confidentiality and handle sensitive information appropriatelySupport safeguarding processes and follow Figure of Eight policies and proceduresHelp create a positive, calm and supportive environment for students and staffWhat we’re looking for
We’re looking for someone who is organised, reliable and genuinely enjoys helping people.
You don't necessarily need years of experience as a PA. What matters to us is that you are someone who can take responsibility, use your initiative and become someone the team can rely on.
You will ideally have:
Experience in administration, office management, PA work or a similar roleExcellent organisational and time-management skillsStrong attention to detailExcellent written and verbal communication skillsConfidence communicating with parents, schools, professionals and colleaguesGood working knowledge of Google Workspace, particularly Docs, Sheets, Drive, Gmail and CalendarStrong computer and digital skillsThe ability to manage several tasks and priorities at the same timeThe confidence to work independently and use your own initiativeA calm, professional and friendly approachThe ability to maintain confidentiality and handle sensitive information appropriatelyA willingness to learn and take on new responsibilitiesA flexible, practical and positive attitudeThe person we're looking for

You might be an experienced administrator looking for a role with more variety, an aspiring PA wanting to work closely with a Director, or someone from an education, school office, business administration or customer-facing background who wants to develop their career.

You’ll need to be comfortable working in a busy environment where priorities can change and where sometimes the most important task isn't the one that was on the list that morning.

Please note
This position is term time only, Monday to Friday starting from 8:30am with salary paid pro rata to the school term-time working year.
The role is based across our Tuition Centre and Environmental Centre, with the flexibility required to support the wider operation of Figure of Eight Education.
