Job Title: Team Assistant, Legal Location: London Job Type: Permanent with hybrid working (3 days in the office required) Closing date for applications: 11th of September 2026 Agencies: We will only work with recruitment partners on our preferred supplier list and will not engage with speculative CVs submitted. About the role: This is a newly created role to support the Executive Assistant and The Legal & Governance Team. Our legal team is a busy team of fourteen legal and contracts professionals, all supporting the life changing work we do to get to patient impact. The Team Assistant will provide general administrative support across the Legal & Governance function, helping to ensure the efficient and effective running of the team. Key responsibilities include: Providing general administrative support to the Legal & Governance Team; assisting with coordination of team events, training sessions and onboarding activities, organising meeting logistics, booking rooms, venues and catering.Supporting the administration of legal team matters, including maintaining holiday trackers, registers and action logs.Uploading and maintenance of contracts within the Legal Database (InTapp), ensuring stakeholder requests are managed and prioritised in accordance with business requirements.Invoice payment creating purchase orders, and ensuring accurate financial records are maintained within the Coupa Finance System.Document production including formatting contracts, presentations, reports to a high standard using Word, Excel and PowerPoint.Maintaining team filing system on the SharePoint Site to ensure information is organised and accessible.Responsibility for the archiving, retention and secure storage of legal files and documentation, in collaboration with Iron Mountain Records Management.Supporting due diligence processes when required including reputational checks. Essential experience required: Demonstrable experience of providing administrative support to colleagues at all levels.Strong organisational and prioritisation skills, with the ability to manage competing demandsExpert proficiency with Microsoft Office, including Outlook, Word, Excel and Powerpoint. Desirable: Experience utilising AI tools to maximise efficiencyExperience with diary managementExperience with Coupa or similar finance system Education: Relevant experience preferred; formal qualifications and not essential Skills & abilities: Excellent organisational skills and strong attention to detailStrong communication and interpersonal skillsThe ability to manage multiple tasks and prioritise effectively.A proactive, flexible, and positive approach to workThe ability to work independently as well as collaboratively within a team environment About us: LifeArc is a not-for-profit life science organisation, leading the way for change in rare diseases in the UK and supporting promising initiatives in global health.
